Understanding Standard Operating Procedures

Running a cannabis business requires precision, compliance, and consistency. A well-written Standard Operating Procedure (SOP) is essential for creating a foundation that ensures every process runs smoothly, safely, and legally. Whether you are a new entrepreneur or a seasoned operator, understanding the basics of SOPs can help you build a more efficient, compliant, and professional operation. In this blog, we will break down what SOPs are, why they matter, and how you can create them with confidence. 


What is an SOP?


An SOP is a detailed written document that describes how specific tasks or processes should be performed to ensure consistency, safety, and compliance with regulations. In the cannabis industry, where rules are strict and vary across jurisdictions, SOPs play a crucial role in operational success and legal compliance. More than a document, they are a blueprint for success. 


Why are SOPs important?


  • Compliance – Ensure adherence to state and local marijuana regulations, such as those established by the Colorado Marijuana Enforcement Division (MED)

  • Efficiency – Provide clear instructions for tasks, reducing errors and training time

  • Safety – Incorporate health and safety protocols to protect employees and consumers

  • Accountability – Assign responsibility, ensuring tasks are performed correctly


In Colorado, the MED outlines clear expectations for SOPs as part of its regulatory framework. These rules ensure cannabis businesses operate safely, consistently, and within the law. According to the Colorado Marijuana Code, SOPs are required to cover all routine operations in a cannabis business, such as cultivation, manufacturing, testing, transportation, and sales. The MED defines SOPs as written documents that provide detailed, step-by-step instructions for tasks to be performed in compliance with industry standards and regulations.  


9 key components of an SOP:

1. Clear and Unique Title

 Give your SOP a specific name, like “Cultivation Room Cleaning Procedure” or “Cannabis Packaging Guidelines.”

2. Purpose and Scope

Explain why the SOP exists. For example, “This SOP ensures the safe and consistent cleaning of cultivation rooms to prevent contamination.”


3. Materials and Equipment List

Detail all the tools and supplies needed, such as gloves, cleaning solutions, or labeling machines.


4. Definitions

Define any technical terms, abbreviations, or industry jargon. For example, “PPE: Personal Protective Equipment.”



5. Responsibilities

Specify who is responsible for each step of the process. Use job titles rather than names to ensure longevity, e.g., “Quality Assurance Manager.”

6. Step-by-Step Instructions

Write clear, numbered steps. For instance:  

   - Step 1: Put on PPE, including gloves and goggles.  

   - Step 2: Mix the cleaning solution as specified.  

   - Step 3: Wipe surfaces thoroughly and allow to air dry.

7. Health and Safety Protocols

MED rules require SOPs to outline health and safety protocols to protect employees and consumers. This includes procedures for handling hazardous materials, maintaining cleanliness, and using personal protective equipment (PPE). 


Include guidelines for preventing accidents or contamination, such as proper handling of solvents or maintaining ventilation.

8. References and Appendices

List any additional documents, such as cleaning schedules, safety data sheets, or regulatory references.

9. Revision History

Keep a log of updates to the SOP, including the date and description of changes.


Here’s an example of how a basic SOP might look for the cleaning procedure at a cannabis cultivation:


 

Title: Cultivation Room Cleaning Procedure  


Purpose: To maintain a clean and sterile environment, reducing the risk of contamination in cannabis plants


Scope: Applies to all staff working in cultivation areas


Materials: Gloves, goggles, isopropyl alcohol, cleaning rags


Definitions: PPE – Personal Protective Equipment


Responsibilities: Cleaning tasks overseen by the Facility Manager


Procedure:  

1. Put on PPE that is properly fitting, including gloves and goggles. Wear PPE before entering the room.  

2. Remove all plants from the area to be sanitized.  Be sure all inventory tracking tags remain attached to supporting branches on each plant.  

3. Mix the cleaning solution as specified on the material safety data sheet.  Take care not to splatter cleaning solution when mixing in such a way that could impact plants.

4. Thoroughly clean all surfaces by wiping with paper towels and alcohol solution.  

5. Allow cleaned surfaces to completely air dry before re-introducing plants to the area.

6. Dispose of paper towel waste from cleaning in lined trash can outside of the cultivation area.  


Health and Safety: Ensure proper ventilation while using cleaning chemicals.

Effective SOPs require careful planning and attention to detail. Remember these important tips to ensure your SOPs are practical, easy to follow, and set your business up for success: 


Use simple, clear language. The primary goal of an SOP is to ensure everyone understands how to complete a task. Write instructions in specific but plain language, free from unnecessary technical jargon. To avoid ambiguity, SOPs should include definitions for technical terms, abbreviations, and industry jargon. For example, terms like "solvent-based concentrate" should be clearly explained. 


Be detailed but concise. Include all essential steps without overloading with unnecessary information. Your SOP should provide just enough context to guide users without overwhelming them. Use bullet points or numbered lists to make information easier to scan.


Test the SOP in real scenarios. Once the SOP is drafted, test it in a real-world setting to ensure it is practical, efficient, and free of errors. Watch how employees follow the steps and identify any areas where they experience confusion or difficulty. Revise the SOP based on these observations.


Engage your team. Involve the people who will be using the SOP in its creation and review. Employees working directly with the processes may have insight into potential challenges or steps that need clarification. Collaborative input ensures accuracy. 


Include visual aids when appropriate. Sometimes, a picture is worth a thousand words. Include diagrams, flowcharts, or photos to illustrate complex steps or layouts. 


Keep it flexible and current. SOPs should be considered living documents. As regulations, technology, or processes change, update the SOP to reflect the new requirements. Include a revision history to track changes and ensure employees always have access to the latest version.


Focus on consistency. Make sure the format and tone of all SOPs are consistent. Use templates or standardized formatting to make them professional and easy to navigate. This improves readability but also ensures all SOPs in your business meet the same high standard.


Train employees on SOP usage. Do not assume that employees will instinctively know how to use an SOP. Incorporate training sessions where employees learn how to read, understand, and execute SOPs properly.
